When you register for a KAC Membership and opt in to be listed in the Member Directory, we may collect the following information:

Biography or artist statement

Any other information you choose to submit as part of your profile

2. Use of Your Information

The information you provide will be used to:

Display your profile in the publicly accessible Member Directory
Allow users to search, filter, and view your work and contact details
Promote arts engagement and professional connections in the Kingston region

We do not sell or share your data with third parties for marketing or commercial purposes.

3. Consent and Control

Participation in the Member Directory is optional. You must opt in to be publicly listed. You may:

Choose which fields to display publicly
Edit, update, or remove your profile at any time

You can manage your profile and privacy settings via your account on the KAC website, or by emailing PCC@ArtsKingston.ca.

4. Directory Visibility

The Member Directory is publicly accessible through the KAC website.
Information you choose to display may be indexed by search engines.
You may choose to hide your email address or other personal contact information from public view.

5. Data Storage and Security

The KAC website is hosted on a secure server and uses SSL encryption.
The Ultimate Member plugin stores data within our WordPress environment and follows WordPress security protocols.
Access to administrative data is restricted to authorized KAC staff and web administrators.

While we take reasonable steps to secure your data, no method of transmission over the internet is 100% secure. By opting in to using the Directory, you acknowledge this risk.

6. Member Responsibilities

Members are responsible for the accuracy of the information they provide. Profiles may not include:

False or misleading information
Hate speech, harassment, or inappropriate content
Unsolicited advertisements or spam

KAC reserves the right to moderate, edit, or remove profiles that violate these terms or our Code of Conduct.

Kingston Arts Council Membership Terms and Conditions

Thank you for your interest in becoming a member of the Kingston Arts Council (KAC). By registering for a membership, you agree to the following terms and conditions. Please review them carefully.

1. Membership Overview

KAC Membership provides access to exclusive benefits, including:

Access to the Arts & Entertainment Plan (health insurance for artists)
Members-only calls for Pocket Gallery exhibitions
Discounts with local partner organizations
Inclusion in a searchable, filterable Member Directory (optional)
Exclusive member events and communications
Additional benefits may be added throughout the membership term

Memberships are available on a rolling basis and are valid for 12 months from the date of registration.

2. Eligibility

Membership is open to:

Individual artists and arts workers living or working in the Kingston region
Arts organizations operating in or serving the Kingston region
Supporters of the arts sector who wish to engage with and support local artists

KAC reserves the right to refuse or revoke membership if eligibility criteria are not met or if a member violates these terms.

3. Fees and Payment

Membership fees are listed on our website and may vary by tier.
Payments are processed through Stripe. All fees are non-refundable unless otherwise stated.
A “Pay What You Want” option is available to ensure accessibility. Members using this option receive the same benefits as standard members.

4. Member Directory and Privacy

Members may opt in to be listed in the KAC Member Directory.
By joining the Directory, you consent to the display of your name, discipline, and any other information you submit.
It is up to Members to keep their profile up to date with the most recent information available to them.
KAC will never sell or share your personal information outside of the Directory without your explicit consent.

5. Third-Party Listings and Member Interactions

The Kingston Arts Council (KAC) Member Directory and event listings are designed to support visibility and networking within the arts sector. However:

KAC does not vet or endorse individual members, their services, or their business practices.
Any agreements, services, or contracts entered into as a result of directory listings, events, or connections made through KAC are solely between the involved parties.
KAC is not responsible or liable for any disputes, losses, damages, or misconduct arising from these interactions.

We encourage all parties to conduct their own due diligence and enter into clear, written agreements when engaging in professional exchanges.

6. Member Conduct

As a member of KAC, you agree to:

Engage respectfully and professionally with other members and the public
Uphold the values of equity, inclusion, and accessibility
Refrain from using KAC platforms to promote hate, harassment, or misinformation

Violation of this code of conduct may result in suspension or termination of your membership without refund.

7. Image Uploads and Content Guidelines

As part of the KAC Membership and Member Directory, you may upload images to showcase your work or create a portfolio. By uploading images, you agree to the following:

Ownership and Rights: You confirm that all images you upload are your own original work or that you have the necessary rights and permissions to use and display them.
Respect and Community Standards: All uploaded images must adhere to community standards, reflecting respect for all individuals. This means:
- No explicit content or graphic material of a sexual or offensive nature.
- No copyrighted content unless you have explicit permission from the copyright holder to use it.
- Images must not promote hate speech, violence, or discrimination against any group or individual.
Appropriate Use: You are solely responsible for the content you upload, and KAC reserves the right to review and remove any images that violate these guidelines without prior notice.

By submitting your images, you grant KAC the right to display them as part of the Member Directory

8. Changes to Membership or Terms

KAC may update the benefits or structure of the Membership program at any time. Changes to these Terms and Conditions will be communicated via email and posted on our website. Continued membership after changes indicates acceptance of the revised terms.
